Map Your Current Waste Management Situation
Before issuing any tender or reaching out to suppliers, you need to know what you're actually asking for. Take time to analyze your current needs. Identify the following:
- What types of waste materials are generated in your company?
- In what quantities and how often?
- How are they currently managed, and what are the associated costs?
- Who is responsible for waste records, and how is the data reported?
Define What You Want to Change or Improve
The goal is not only to "find a cheaper supplier," but potentially to:
- Increase transparency in the whole process
- Find more sustainable and environmentally friendly waste management options
- Optimize collection processes and reduce administrative burden
- Improve ESG reporting and ensure legal compliance

Involve Your Internal Team
The preparation process should include:
- Branch managers, operations managers, logistics managers, etc.
- Purchasing and finance departments
- Waste managers (if applicable), sustainability and ESG managers (if applicable), or EHS managers
- Internal legal department (if applicable)
Together, you should define the requirements and set the parameters that will shape the tender process.

There are several options to consider:
- Direct outreach to a specific supplier
- Closed tender with selected suppliers
- Open tender under civil law regulations
- Public procurement under Act No. 134/2016 Coll. (Czech legislation)
Your choice depends on your company’s legal status (public vs. private sector), internal policies, and objectives.
Set Evaluation Criteria
Beyond price, focus also on:
- Availability and quality of data for evaluation
- Sustainability and end-of-life handling of waste (preferably recovery or reuse)
- Flexibility of service
- References and experience with similar operations
